Operating Room Block Scheduling: Block Allocation, Utilisation, Case Duration Estimates, First-Case Starts, Turnover & Overtime

Manage surgical schedules as an operations analyst. You will allocate blocks of room time to services, measure how well each block is used, estimate case lengths from history to fill a day realistically, track first-case on-time starts and turnovers, cost overtime and release unused time, with every cell checked as you go.

What you'll build

What you will be able to do

Each lab ends with a concrete result that you build yourself and the checker confirms, cell by cell.

  • Turn a fictional hospital's weekly block template into block minutes per block, total block minutes and share of allocated time per service, the room capacity of the week and the open time nobody owns yet: the baseline every later lab measures against.
  • Measure how well each block of one fictional week was used, pool the minutes per service with SUMIFS, count the blocks below the target and name the service with the lowest utilisation.
  • Turn 24 past cases into a median and an 80th-percentile duration per fictional procedure type, round the 80th percentile up to booking minutes and test how often a case would have run longer than its booking.
  • Lay six booked cases into one fictional block, work out each start and end time, flag the cases that end after the block, measure the overrun and let a formula pick the case to move.
  • Turn scheduled and actual first-case times into minutes late and an on-time rate, measure each turnover in minutes, average them by room and flag the late starts with a formula rule.
  • Measure every block's overtime and early-finish minutes, cost the overtime at a fictional team rate, total it by service and compare minute billing with 15-minute billing.
  • Apply a fictional release rule to twelve upcoming blocks: the check date a number of working days before each block, the release decision from the booked share, the released minutes in whole units and the hours that go back to the open pool.
  • Turn last quarter's utilisation into the block hours each service needs at the target, round them to half-day blocks, show the change per service, check what is left of the room capacity and chart current vs new hours.

About this course

Operating rooms are expensive to keep idle and expensive to run late. This course gives you the operations analyst's view of a fictional surgical suite. You set up a weekly block template by room, day and service, then measure block utilisation from case minutes and turnovers. Case-duration labs use the median and 80th percentile of past cases to set booking minutes per procedure type, and a scheduling lab fills a day with start times, overrun flags and a decision on which case to move. You track first-case on-time starts and turnover times by room, cost overtime past block end, apply release rules with WORKDAY check dates and reallocate next quarter's hours by utilisation in half-day steps. For hospital managers and healthcare analysts. Illustrative – not clinical advice.
